CitationCheck is operated by LearnBase Ltd, a company dedicated to helping academic professionals and students verify the accuracy of scholarly references.

2. What Data We Collect

We collect and process the following data:

• Text you submit: Bibliographies, footnotes, citations, or full academic papers that you paste into our tool for analysis
• Email address: Your email address when you create an account or make a purchase
• Payment information: Processed securely through Stripe. We do not store credit card details directly
• Usage data: Anonymized information about how you use our service (e.g., number of checks performed)
• Technical data: IP address, browser type, device type, and pages visited (via Google Analytics if enabled)

3. How We Use Your Data

We use your data only for the following purposes:

• Providing the service: To verify your citations against academic databases (CrossRef, OpenAlex, DOI)
• Payment processing: To process purchases via Stripe and maintain payment records
• Communication: To respond to your queries or provide updates about your account
• Analytics: To understand user behaviour and improve our service

Important: We do NOT store the text you submit for analysis after processing. Your citations and papers are deleted immediately after verification is complete.

4. Cookies and Tracking

We use minimal cookies:

• Session cookies: Temporary cookies to maintain your login session (essential)
• Google Analytics: Optional analytics cookies to track traffic and user engagement. You can opt out in your browser settings

No third-party advertising cookies are used.

5. Third-Party Services

We share data with the following third parties:

• Stripe: Payment processor. Your email and transaction details are shared to process payments (see Stripe's Privacy Policy)
• Google Analytics: To track anonymized usage data (see Google's Privacy Policy)
• CrossRef, OpenAlex, DOI.org: We send reference metadata (titles, authors, years) to verify citations. We do NOT send your full paper or personal information

6. Data Retention

• Submitted text: Deleted immediately after analysis is complete
• Account information: Retained as long as your account is active
• Payment records: Retained for 7 years to comply with UK tax and accounting regulations
• Analytics data: Retained for 14 months (Google Analytics default retention)

7. Your Rights

Under GDPR and UK data protection law, you have the right to:

• Access: Request a copy of your personal data
• Rectification: Correct inaccurate data
• Deletion: Request deletion of your data (right to be forgotten), except where we must retain it for legal purposes
• Portability: Receive your data in a structured format
• Object: Object to certain processing activities

8. Security

We implement industry-standard security measures to protect your data, including encryption in transit and secure server infrastructure. However, no system is 100% secure. If you believe your data has been compromised, please contact us immediately.
